Master your communication stack to eliminate friction and boost team productivity.
It's your weekly dose of clarity and insight on all things tech & business from Dream in Digital! Each week, I'm here to share my thoughts to help you make the most of today's technology and build a business that genuinely supports the life you want to live.
This Week’s Core Focus:
Mastering Your Communication Channels
Most entrepreneurs suffer from "notification fatigue" because they treat every message with the same urgency. To reclaim your deep work hours, you must categorize your communication into three distinct lanes. When you use the right lane for the right speed, your business moves faster with less friction.
Email (The Paper Trail): Use this for clients, formal agreements, and more formally thought out strategic ideas. If it may need to be referenced six months from now, it probably belongs in an email.
Chat (The Digital Office): Apps like Slack or Google Chat are great for "quick-fire" internal questions, team updates, and culture building. Keep it informal, and keep it out of your inbox.
Video Calls (The Clarity Accelerator): When a chat thread goes back and forth more than three times, or you’re looking to connect with your team for a strategy session, it’s probably best to jump on a call. Creating the space to talk face to face to exchange ideas, build rapport, or screen-share complex tasks are all major benefits of a video call.
Bonus Tip: If you work remotely, video call fatigue is absolutely real! Unless your team plans on utilizing the screen share feature for your video call, it could be helpful to switch the call to your phone every once in a while instead. Whether you're running a no-camera call from your phone, or your team decides to simply switch to a group phone call, being able to take a break from your workspace can do wonders for your mental & physical health — especially if you use that time to take a nice walk while on your meeting!
Tech Tip of the Week:
Too Many Emails? — Try a Chat App Instead!
The Problem: You need to communicate with your team and get work done, but when your email inbox has 50+ unread emails every morning, it can feel defeating, and act as a blocker to your productivity.
The Solution: Find a chat app that works best for your team so you can easily communicate with others and get work done in an organized and efficient way.
Chat Apps are Great For:
+ Reaching Out to Team Members Directly
+ Constant Communication Between Teams
+ Organizing Departments & Projects
Features:
+ Direct Messaging
+ Chat Channels (often organized by team or project)
+ Chat Threads (concentrated replies/conversations about specific issues within a channel)
+ Integrations & Automations with Other Apps
Options:
+ Slack - Best for Work
+ Google Chat - Good for Google Workspace Users
+ Microsoft Teams - Good for Microsoft Office Users
+ Discord - Great for community spaces/interactions
Email vs Chat:
> More formal
> Tends to be longer-form messages
> Great for initial communication or less frequent communication
+ Chat
> More informal
> Tends to be shorter-form messages
> Great way to store all information in one organized thread
> Great for recurring and frequent communication
How This Helps: By having a dedicated space for quick, internal communication, you can easily pick up where you left off in conversations, and stay on track with your team to get work done!
Bonus Tip: Although many communication platforms recommend that you turn on desktop notifications for their platform, do NOT turn these on! Notifications inside your dedicated (digital) workspace are a productivity KILLER! Instead, keep each communication channel open in a separate browser tab, and periodically check each one in between focused work time or meetings. Being intentional about when you communicate is another key to guarding your focus and using these tools to their fullest potential!
